Invoice keying is the single most common job we are asked to remove, and the one with the clearest arithmetic. Two people, a morning each, every day, and a stack of PDFs that all say the same six things in different places.
How we connect it
Reads your supplier documents, writes to your accounting system, queues the exceptions
What we automate with Accounts Payable Automation
- /01
Capture from anywhere
Email, shared mailbox, portal download or a photograph from a phone. Poor scans score low and go to a person rather than being guessed.
- /02
Extraction and coding
Supplier, line items, VAT, totals, dates, nominal code and tracking category. Every field carries a confidence score you can see.
- /03
Three-way matching
Against the purchase order and the goods-received note, with a tolerance you set. Anything outside it queues with both documents side by side.
- /04
Posting and filing
Written to Sage, Xero or QuickBooks with the original PDF attached, and a timestamped record of what wrote what.
An example automation
Manufacturer example. An illustration, not a client result.
Questions about Accounts Payable Automation
What accuracy should we expect?
On typical supplier documents, above 90% straight through within a few weeks of tuning. The number that matters is not accuracy but what happens to the remainder, and the remainder should go to a person with the reason attached.
Will it post something wrong?
Only if you let it. We default the confidence threshold high, so more queues for review than strictly needs to, then loosen it once the numbers earn it.
Does this replace our bookkeeper?
No. It removes the keying so they spend the time on exceptions and advice, which is what you are paying them for.
