Sage

Most of the invoice re-typing we remove ends up in Sage. It is the system we have connected more often than any other, including the desktop versions people assume cannot be automated.

How we connect it

API, or database and scheduled exports on older on-premise versions

What we automate with Sage

  • /01

    Purchase invoice posting

Supplier PDFs read, line items and VAT extracted, matched to the purchase order, posted with the original attached.

  • /02

    Sales invoice generation

Raised from job or order data on a schedule, with the exceptions queued rather than guessed.

  • /03

    Bank and ledger reconciliation

Statement lines matched nightly, with anything outside your tolerance flagged for a person.

  • /04

    Customer and supplier sync

One record across Sage and the CRM, with the merge rules written down and agreed.

An example automation

Supplier invoices get keyed into Sage by hand every morning. Extraction and matching handle the routine ones, with the rest queued for a person.

Questions about Sage

We are on Sage 50 desktop, not cloud. Can you still do this?

Yes. We work with the database directly or with scheduled exports. It is slightly more work at the build stage and no different to run.

Will it post things we have not checked?

Only what you tell it to. We default to posting only above a confidence threshold you set, and everything else queues with both documents side by side.

Does this break our audit trail?

It improves it. Every automated posting carries the source document, the confidence score and a timestamp.

Tell us the task. We'll tell you if it's worth automating.

Twenty minutes is usually enough to know. If it is not a good fit we will say so.
